Ticket Type Settings

Once you've created your event on the Howler Organiser Portal, you'll need to create tickets to sell.

This Doc will outline how to set up tickets and the different ticket settings.

How to create tickets

  1. The "Ticket types" are shown on the organiser portal. Select the dropdown to choose between adding a "New ticket category" and a "New ticket type".
A Ticket Type is the name of a specific ticket with a description of what this ticket includes such as "General Access phase 1", "Lower field parking", "VVIP phase 4" etc.
A Ticket Category is a way for you to categorise similar tickets together such as "VIP" including all of the different phases of VIP tickets, or "Glamping" including all different glamping tickets.
  1. Select "New ticket category" and enter the "Category name" and "Category description". You can choose to collapse the category by default followed by selecting "Save".
Make sure that your descriptions are in depth and manage attendee expectations. Make sure that VIPs know what special treatment their paying for.
  1. Select "New ticket type" and carefully read through and enter the relevant information, especially when configuring the booking fees.
Note: Please make sure that you understand the fee system before selling tickets.

Set on sale and off sale times.

Make specific ticket types limited and manage ticket phases by setting on sale and off sale times.

  1. Within the same window, scroll down and select the "Advanced settings" to change the amount of tickets purchasable per order, the increments/multiples that they can be bought in and the ticket on-sale and off-sale time and date followed by selecting "Save".
You can drag and drop ticket types to move them into the categories. You will also be able to drag and drop the different categories into any order.

How to hide tickets

To ensure tickets are not visible when they are not meant to be yet, you can set the on sale and off sale times as above or you can deselect the checkbox when editing the ticket that says "Visible to customers". This will ensure that customers cannot see this ticket type until the checkbox is selcted.

When this checkbox is selected, tickets will be visible to customers. When this is deselected, this ticket type will be hidden.

Ticket Bundles and specials

Offer ticket bundles and specials to customers to drive ticket sales.

To ease operations on site, make sure that each customer is issued their own QR code. 1 QR code/ticket = 1 entry. So that when customers arrive at different times to their groups, they will each have a ticket to scan.

For ticket specials such as 2 for 1 or group tickets, make sure to set the correct increment.

  1. Within the ticket type settings, head to "advanced settings"
  1. Scroll down to where it says "Selection increment" and select how many tickets need to be bought together.
This is VERY important to ensure that each customer holds a ticket.
  1. Select the ticket price to reflect your special so that each individual ticket is discounted to reflect the total special.
  2. Make sure that this is very clear in the ticket type description.

An example of this feature application is selling 2 tickets for the price of 1. The increment will be set to 2, the price of the tickets will be half of the original ticket price and the description will state that the customer will receive 2 tickets for the price of 1 and each QR code = entry for 1 customer.

We do not recommend using phrasing that could imply that 1 QR code could allow access to multiple customers such as "2 for 1". We always state "2 for the price of 1" or "half price couple tickets" etc.
An example of a good ticket description for this is;
"Get 2 tickets for the price of 1 General Access Ticket (originally R500 each). The ticket price of each ticket has been halved and so you will be able to buy tickets in increments of 2 at half price. 1 QR code = 1 entry. Make sure you've assigned your ticket to a friend and they have access to their ticket when arriving at the event."
